Start with the basics
How do I start using PrepIt?Set up PrepIt from the web portal, then use the Apple app as a shared shop station.+
PrepIt setup starts in the web portal. Create or join a workspace, choose the active shop, add employees, set PINs, then open the Apple app on the shop iPad for daily operations.
- 1Create the organization or accept your invite in the web portal.
- 2Add at least one shop and choose the active shop.
- 3Add employees and assign roles or PIN access.
- 4Publish a schedule, add tasks, checklists, recipes, and inventory as needed.
- 5Sign in to the Apple app and choose the same workspace and shop.
What is Shop Station Mode?Shop Station Mode is the shared iPad floor mode for day-to-day cafe work.+
Shop Station Mode is designed for the counter or back bar. Staff can clock in and out with a PIN, view published schedules, complete allowed operational work, and temporarily unlock employee or manager modes when permitted.
- 1Sign in once with an account that has access to the workspace.
- 2Select the correct organization and shop.
- 3Leave the iPad on Shop Station Mode during the shift.
- 4Use PIN unlocks for employee-specific views and manager tools.
How do I add employees?Use Employees for PIN-based staff records and Team for people with portal login access.+
PrepIt separates employee records from web portal user accounts. Employees are used for scheduling, PIN clock-in, tips, tasks, and shop-station workflows. Team members are people with PrepIt login access.
- 1Open Employees to create PIN-based staff records.
- 2Open Team to invite managers or other users who need portal access.
- 3Assign the right role and shop access.
- 4Give staff their PIN only through your internal process.

How does scheduling work?Managers build and publish schedules in the web portal; the Apple app shows the shared schedule.+
PrepIt keeps schedule editing in the web portal so managers can build, review, and publish the shared schedule safely. The Apple app displays published schedule information in a read-only station view.
- 1Open Schedule in the web portal.
- 2Build draft shifts for the selected week.
- 3Review coverage and warnings.
- 4Publish the week when it is ready.
- 5Refresh the Apple app schedule view to show the published week.
How does Clock In/Out work?Employees clock in and out with PINs. Actual worked shifts power tips and pay summaries.+
Clock In/Out records actual worked time in PrepIt. These shared employee shift records power the hour log, tip eligibility, and pay summaries. PIN clocking does not unlock private employee data by itself.
- 1Open Clock In/Out on the web portal or Apple Shop Station.
- 2Employee enters their PIN.
- 3PrepIt records clock-in or clock-out for the active shop.
- 4Managers can review and fix clock entries where permitted.
How do daily tasks and checklists work?Daily tasks are one-off work; checklists are reusable routines.+
Daily tasks help the shop handle today and tomorrow. Checklists are reusable routines like opening, closing, cleaning, prep, or shift handoff. Managers create and manage them, while staff can complete allowed operational work.
- 1Create daily tasks for one-off work.
- 2Create checklist templates for recurring routines.
- 3Run checklists during daily operations.
- 4Review completion from the web portal or manager mode.
How do recipes and inventory connect?Recipes guide prep work; inventory tracks stock, categories, locations, and low-stock needs.+
Recipes store ingredients, prep steps, yield, photos, and batch guidance. Inventory tracks the items and locations your shop uses. When configured, batch prep can help teams understand ingredient needs and inventory impact.
- 1Create inventory categories, locations, and items.
- 2Create recipe templates with ingredients and steps.
- 3Use recipes from Shop Station for prep consistency.
- 4Review inventory levels and low-stock items regularly.
How does tip management work?Tips use daily tip totals and actual worked hours from Clock In/Out.+
PrepIt calculates tips from daily tips, employee shifts, and the active tip distribution model. Distribution records are saved by employee and business day so week and month views roll up from the same source.
- 1Enter daily tip totals for the selected business day.
- 2Make sure eligible employees have actual worked shifts.
- 3Review earned, distributed, and pending amounts.
- 4Managers finalize distribution when ready.

What should I do in the web portal versus the Apple app?The web portal is for setup and management. The Apple app is for shop-station workflows.+

Why is the iPad showing no published schedule? The Apple app only shows schedule data that has been published for the active shop.+
Check that you are in the correct organization and shop, that the week has been published in the web portal, and that the Apple app has refreshed after publishing.
